Thank You Card Etiquette

by Robert Johnson

A thank you card has an etiquette. All the etiquette should show gratitude to the recipient. Etiquette refers to the dos and don’ts of a thank you card. It helps you select approximate wordings for your Thank You card.

Timing

Timing is not negligible when sending a Thank You card. Consider the time when making a Thank You card. Choose a time that is most suitable for sending the card and not just any time. It is preferable to send the card within 24 hours or not more than after 2 to 3 days after the event took place or after you receive the gift. The Thank You note for an interview should be sent the next day or that same day.

Begin with a greeting

You can begin with words like ‘Dear Kiba’ or ‘ Hello Gina’. A greeting is a more efficient way of starting a Thank You note. Use methods of address and formal titles like Ms or Mr, if the Thank You note is the one given after an interview.

Don’t make it too long

4 or 5 lines express your appreciation. Don’t start writing a textbook for a thank you note, so that your recipient will have time to read it. Keep your Thank You notes on the card short. You can mention a particular item or a gift you are thanking for. Example you can start with words like, ” I had a good time with you on this vacation trip. We are especially fond of the times we shared together in front of the bonfire.”

A paragraph before conclusion

Use a paragraph before concluding a Thank You note for your Thank You card. It should express your thoughtfulness and kindness. You can conclude with words like, ‘Again we are grateful for your thoughtfulness and kindness’.

Conclude with a suitable sign off

When concluding the note for your thank you card. Use what is proper as a sign off. For a business Thank You sign off, you can use sign offs like ‘kind regards’, ‘warm regards or sincerely’. However for a non formal sign off, sign off wordings like, ‘Appreciatively’, ‘Sincerely’, ‘Warmly or Love’ is applicable.

Avoid using postage metre

A real stamp is more suitable to use than a postage metre. Since a Thank You card is a personal card, use stamps that show the season or interest. You can address the envelope by hand.

Thank You cards for children

Adults can help children send a thank you card. This can be done with a fill in the blank thank you sheet which you can give the children to fill. Children can exchange this Thank You card among their peers and acquaintances.

Add a forward-looking statement

Talk about the next time you wish to see them or something in their lives or say something that shows that you have them in mind.

Concluding the Thank You Card

As you conclude the wordings of the Thank You card, add some details as a way of concluding. Use your regards to conclude.  Use a warmer closing for an informal thank you card, however, for a formal closing, the regards should be more professional.
